Give a client portal access

Give a client their own sign-in to your branded portal. You’ll add a contact to the client record, send the invitation, and they’ll be browsing projects and invoices on their own — about two minutes of work.

Before you start
The client portal is included on every plan. You’ll need the client already created in your workspace and the contact’s email address. The flow works the same in the desktop dashboard and the web app.
  1. 1Open Clients in the dashboard sidebar, select the client, and switch to the Contacts tab. Press Add Contact — or the pencil icon to edit an existing contact.
  2. 2Fill in First Name and Email (both required), plus last name, phone, and job title if you have them.
  3. 3Tick Make this the primary contact for the client’s main point of contact. Primary contacts always get full portal access, so the permission controls lock to edit-everything plus both approval rights.
  4. 4For anyone else, tick Grant portal access and set per-area permissions — None, View, or Edit for Projects, Incidents, Changes, Invoices, Contacts, and Company Profile — and optionally allow Can Approve Projects and Can Approve Changes.
  5. 5Leave Portal Password blank and press Save. TimerOS emails the contact a branded invitation with a one-time link, valid for seven days, to set their own password. Prefer to hand over credentials yourself? Type or generate a password instead — it’s shown once in a “Portal Access Created” dialog and can’t be retrieved later.
  6. 6The client opens the email, chooses a password, and presses Activate account. From then on they sign in at https://your-workspace-slug.timeros.ai and see your branding with whatever their permissions allow: a dashboard plus Projects, Incidents, Changes, and Invoices (a Service Plan page appears on Enterprise workspaces).
  7. 7Back on the Contacts tab, the contact’s card now shows a Portal chip — and a Primary chip if you marked them primary. Edit the contact any time to adjust permissions.
