Billing, expenses & profit

TimerOS turns tracked time into money: bill clients, log expenses, watch profit move in real time, and let clients pay invoices online. Subscription and plan management live on the website dashboard at timeros.ai/dashboard.

The desktop dashboard and the web app carry three finance pages — Billing, Expenses, and Profit — alongside Clients. Billing and clients are available on every tier (Freelancer included); expenses and profit ship in a “lite” form starting on Freelancer and step up to a full version on Enterprise.

Invoices and online payment

Create and manage invoices from the desktop Billing page, send them to clients, and track payment status. Clients view and pay their invoices in the client portal: where you have Stripe enabled, they pay by card through Stripe’s hosted checkout; otherwise they see your bank details and record a manual payment (method, reference, notes). Clients can download a PDF copy of each invoice from the portal. Note that paying or recording a payment in the portal requires edit access on invoices — view-only contacts can read and download but not pay.

Expenses

  • Freelancer and Startup get a “lite” expense list with categories.
  • Enterprise (early access) unlocks vendor bills (accounts payable) and an asset register with depreciation, all feeding into full P&L.

Profit and per-project margin

The Profit page shows revenue, expenses, and net profit derived from your tracked time and invoices, updating live across desktop and web sessions. On Enterprise, full P&L also folds in payroll costs and vendor bills. Client pricing tiers — which let you bill clients at different rates — are an Enterprise capability.

Startup per-incident / per-change support pricing

For non-Enterprise tenants, you can charge clients per support request. The portal shows a support-pricing banner and an in-dialog cost note when a client reports an incident or requests a change — a flat price per incident, and a flat or per-hour price for change requests, in the client’s currency, with “included at no charge” when the price is zero. This lives on the portal’s Incidents and Changes pages, not the Service Plan page (the Service Plan page is Enterprise-only).

Subscription & plan management (website dashboard)

Manage your own TimerOS subscription on the website dashboard, not the desktop or web app.

  1. 1Review your current plan, billing cycle, seats used/purchased, and next renewal on /dashboard/subscription.
  2. 2Change plan, switch monthly↔annual (around 17% annual saving), or adjust seats — upgrades prorate immediately, downgrades schedule for the next renewal.
  3. 3Manage payment methods, billing details, and invoice history on /dashboard/billing; pay any unpaid invoice via its Stripe hosted link.
Tiers
Enterprise is currently early access (talk to sales); Freelancer and Startup are self-serve. Proration shown in change dialogs is a client-side estimate — Stripe calculates the exact amount. Audit log and several integrations are not yet built; see the roadmap.
